PF, UAN and ECR: the employer’s beginner glossary
Understand the terms before collecting payroll and employee membership records.
Three terms to recognise
EPF refers to the Employees’ Provident Fund. EPFO is the organisation administering the relevant schemes. UAN means Universal Account Number and is used in member records. ECR means Electronic Challan-cum-Return, part of the employer reporting workflow.
Establishment coverage and an individual employee’s membership or contribution treatment are separate questions. Do not decide either from a single salary figure or a headcount guess.
Start with an employee master
Maintain an agreed record of employee names, joining and leaving dates, relevant membership details and payroll references. Share personal information through controlled access. Collect only what the compliance workflow requires.
For a new joiner, confirm the available membership information and have it checked before preparing the period’s return. A copied row from another employee can hide an incorrect identifier or contribution treatment.
An example of a preventable issue
An employee’s name is entered differently in the payroll sheet and membership record. Rather than ignoring the difference, list it as a query and identify the document or authorised process needed to resolve it. Keep the resolution linked to the employee record.
Questions to take to your adviser
- Is the establishment covered, and on what basis?
- What membership details need confirmation for each employee?
- Which wage components and scheme conditions apply?
- How should joiners, leavers and corrections be handled?
- Which current ECR instructions apply to this period?
This glossary intentionally avoids prescribing a universal contribution calculation or coverage threshold.
