A monthly PT/PF records checklist

Organise employee changes, payroll approvals and payment evidence in one workflow.

Close the records before preparing the return

A consistent payroll handover reduces avoidable queries. Agree a cut-off for employee changes, the salary register and approvals. The internal cut-off is an organisational date; statutory deadlines must be checked separately.

Build the monthly pack

  • Employee master and relevant membership identifiers.
  • Salary register and attendance or wage-support records.
  • Joiner, leaver and correction details.
  • Existing PT and EPFO registration details.
  • Previous returns and unresolved differences.
  • Proposed calculation summary for approval.
  • Return, challan and payment evidence after completion.

Document who prepares, who reviews and who arranges payment. A prepared return, submitted return and successful payment are different stages, so give each a separate status.

A simple control example

Your payroll total changes from one month to the next. Create a bridge showing new employees, exits, salary changes and other adjustments. Reconcile the bridge to the current register before asking for approval.

If a bank payment fails, keep the item open until the portal and payment evidence confirm the outcome. Do not mark the whole period complete based only on a screenshot of an attempted transaction.

Keep the obligations distinct

PT is state-specific. PF uses its own membership and reporting requirements. A combined checklist is convenient, but each calculation and submission needs the appropriate assessment. Other payroll obligations are outside this checklist unless separately added.
