Invoices and expenses: a practical recordkeeping system

Create a simple filing system that makes transactions easier to check and explain.

Give each record a home

Use a consistent folder or software process for sales, purchases, expenses and bank records. Name files so the period, party and reference are easy to identify. Keep the original evidence and record any correction separately.

A simple register

A starter register can include date, invoice number, customer or supplier, description, amount, payment status and document link. Where tax applies, record the relevant values separately. Avoid choosing tax treatment solely from an expense label.

For example, a bank debit labelled “online payment” does not tell you whether the purchase was inventory, equipment, a subscription or personal spending. Link the bill and purpose before classifying it.

Handle common gaps

  • Missing receipt: record who will obtain the evidence and by when.
  • Duplicate file: compare invoice number, party and amount before creating another entry.
  • Credit note: link it to the original invoice and explain the adjustment.
  • Mixed spending: separate the business purpose and ask about uncertain treatment.
  • Payment gateway settlement: retain the statement explaining deductions and charges.

Finish with a query list

Do not hide unresolved items inside a general expense category to make the sheet look complete. Keep a list with the transaction reference, question, owner and answer. Review it regularly with the person responsible for the books.

An organised record is easier to review, but retaining a document does not by itself establish a tax deduction or credit entitlement. Those decisions require the applicable facts and rules.
